How do I renew my protocol?

Unless the HSC has asked you to renew or revise an Exemption, it is approved indefinitely and does not have to be renewed. However, if you plan to modify your research, you must notify the HSC before changing your research.

How do I know when my protocol expires?
You will receive an e-mail 60 days, 30 days & 14 days before your protocol expires. You may also find this information by logging into ORahs and looking at your “Expired/Due to Expire” queue. You will want to submit a Full Board review approximately 2 months before the expiration date. An expedited review should be submitted 1 month before the expiration date. If your protocol expires before it can be renewed, all research must stop on the expiration date. There is no grace period.

How do I submit a renewal?
You will need to log into ORahs and find the protocol you would like to renew on the “Expired/Due to Expire” queue. Select either “renew with no changes” or “renew with modifications.” If you are renewing with no changes, you can move immediately to the “progress” tab, fill out the progress report and click the “submit to HSC” (“submit to Faculty Advisor” if student.) If you are modifying and renewing, modify at the appropriate tabs, saving after each page. When you reach the “progress” tab, provide a progress report AND a summary of the changes being made.” Then simply submit.

Do I need to renew if I've finished data collection but I'm still analyzing data?
Whether you have to renew or not depends on the state of your data.

Anonymous data, data stripped of ANY identifying information including codes linking subjects to data destroyed:
NO, you do not need to renew your protocol.

Data with identifiers, identifying data or codes linking subjects to data:
YES, you need to renew your protocol. Follow the procedures above for protocols being renewed with NO changes.
